What TrueRent is

TrueRent helps companies get more value out of the way they already rent equipment. We learn how a company actually rents, then help build a clearer rental process around its existing team and vendor relationships. This policy covers truerent.co, the client register, and the TrueRent tools available inside AI assistants.

What we collect

Contact details you give us. Company name, your name, role, and email when you ask us to follow up, book a call, or sign up.

Invoices you send us. The rental invoices you upload, and the record we read from them: vendor, branch, equipment, rates, fees, dates, PO number, the customer or contact name as printed (usually the person who ordered), and the full job-site address. Full job-site addresses are stored in the database on your account. On screen and in print, the job site shows as "Commercial jobsite" with its city, state and zip, and the name is hidden, until someone on your account chooses Show. Search still finds both. TrueRent invoices carry your TrueRent account number, not your company name.

Ratings your team submits. Answers about the rental companies you already use, including the rater's role.

Basic usage data. When you use a TrueRent tool inside an AI assistant, we log which tool ran, when, and the TrueRent account that used a signed-in workflow. A public tool may also log an optional metro area if you shared one. We do not store your raw IP address or a copy of your AI-assistant conversation. Our website uses standard analytics for page views.

Connecting an AI assistant

Connecting TrueRent to an AI assistant is optional. The connection uses OAuth, so the assistant does not receive your TrueRent password. Detailed Register rows can be delivered to the embedded TrueRent view without TrueRent placing those rows in the model's conversation. Information you type into the conversation, ask the model to use, or confirm for an equipment request is processed by the AI provider you chose under that provider's terms and settings. TrueRent sends only the information needed for the tool you use. You can deny a connection before it starts, revoke it from your AI-assistant settings, or ask TrueRent support to revoke it.

How invoices are read

Digital PDFs that already have a text layer are read in your browser. That file is not sent to OpenAI. Scanned or photographed invoice pages are sent through ParseAPI, our own reading service, to OpenAI so the page can be read. ParseAPI passes the image on and does not keep it. OpenAI sees the page image, which can include the company name and the full job-site address printed on it. When you ask a question in the register, the copy sent to OpenAI uses a state code in place of the job-site address. The address stored on your account is still the full one.

How we use it

We use your information to put rental history, rates, fees, activity and experience in one picture for field, purchasing and accounting, and to reply to you. We do not send marketing on behalf of anyone else.

What stays private

Your spend, invoices, company name and job sites stay private to your account. No other company is shown your identified data. A rental company does not receive your invoices, spend, rates, names, POs, job sites, or any single customer's answers.

What may be shared or sold

TrueRent may share or sell only aggregated, combined vendor ratings. Never one customer's data.

A combined rating is scores from many customers, by branch or region, with the rater's job title. It does not include the rater's name, company, spend, invoices, rates, POs, or job sites.

Your invoices and spend are not part of what we share or sell. The database does not yet require a minimum number of customers before a combined figure is shown.

Who touches your data

Service providers that run the service: Supabase for the database, login, OAuth connections and storage; OpenAI for scanned invoice pages and for questions in the web Register; Vercel for hosting; Resend for email; and the AI provider you choose—such as OpenAI, Anthropic or xAI—when you connect and use the TrueRent workflow there. Their handling of your AI-assistant account and conversation is also governed by their own terms and settings. People at TrueRent who need it to deliver the service can see your account. Today, that is the founder.

Retention and deletion

We keep invoice records, including full job-site addresses, while your account is active. Confirmed equipment requests and a limited action log remain with the account so the work and approvals are traceable. Revoking an AI connection stops future access but does not delete records already created in TrueRent. Email privacy@truerent.co to ask what we hold or to have the data that identifies you deleted. The agreement you accept describes how copy and deletion requests are handled.
